Development Assistant

COMPENSATION: $5,000 + potential additional commission

START DATE: April 15, 2017

WORK HOURS: April-November, Part-time (20-30 hours), Monday thru Friday, will require additional hours on weekends and in the weeks leading up to and during the Festival and Conference.

ABOUT US: Austin Film Festival furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film and television to tell a story.

JOB DESCRIPTION: Austin Film Festival is seeking a highly-motivated sales person interested in forming and maintaining relationships and executing sponsorship agreements during the Festival. Candidate should have a familiarity with the Austin community. While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast paced, team-oriented production environment. In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.

RESPONSIBILITIES: The responsibilities of the Development Assistant include but are not limited to:

  • Building long-term relationships with advertisers and potential sponsors
  • Following up with previous advertisers to secure advertising for another year
  • Using cold calling methods to create new relationships with advertisers
  • Working directly with the Development Director to secure festival sponsorships and Film & Food Fundraising sponsors
  • Reaching out to advertisers locally and nationally
  • Attending bi-weekly meeting with Development Director and Executive Director for updates on sales and brainstorming providing updates to relevant personnel as needed
  • Serving as Liaison between advertisers, Development Director, and graphic designer
  • Managing fulfillment of agreements negotiated with advertisers and sponsors and fulfillment of all sales
  • Adhering to and completing a predetermined timeline
  • Providing exemplary customer service to all advertisers including wrap-up reports post Festival
  • Ensuring all advertisers have been invoiced and paid prior to receiving ad or promotional materials.

QUALIFICATIONS:

  • MUST have previous direct advertising sales and cold calling experience
  • Must be available for the entire festival October 25-November 2, 2017
  • Bachelor’s Degree preferred
  • Extensive customer service experience
  • Excellent communication skills
  • Creativity and extreme organizational skills
  • Ability to work well under pressure
  • Sense of humor

SKILLS:

  • A self-motivated, self-starter adept at juggling multiple projects & problem solving
  • Strong written and verbal communication skills,
  • Attention to detail and good follow-through
  • Excellent interpersonal skills; able to work independently and still communicate with a team
  • Ability to prioritize and delegate in high stress situations; works well under pressure
  • Microsoft Office skills required

Development Events Coordinator

REPORTS TO: Development Director, Managing Director, and Executive Director

ABOUT US: Austin Film Festival furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film and television to tell a story.

JOB DESCRIPTION: Austin Film Festival is seeking a highly organized planner to coordinate all details of festival parties and development events. The Development Events Coordinator will be responsible for: securing venues, renting equipment, setting up and breaking down events, serving as main point of contact between Austin Film Festival and venues, helping the Development Director coordinate details to fulfill sponsorship obligations.

Responsibilities: Responsibilities of the Development Events Coordinator include but are not limited to:

Festival Parties

  • Booking and securing all the venues-
  • Contract management
  • Serve as main point of contact for all venues
  • Manage BBQ event—Ordering all materials (Tables, Chairs, Linens, Bars, etc.) set up and break down, attending final walk through with French Legation Museum staff
  • Manage volunteers–Giving the volunteer coordinator all party needs and managing/directing volunteers during event
  • Assist Development Director fulfill any sponsorship obligations- setting up all sponsorship material and ensuring sponsors have a positive experience
  • Serving as main point of contact for all vendors (venues, DJs, caterers, etc.)
  • Assist Executive Director and Executive Adminstrator with Awards Luncheon logistics
  • Manage Awards Luncheon day-of logistics
  • Attend all parties–Arriving early to set up and communicate with the venue staff

Film & Food Fundraising Party:

  • Invite and Secure all participating restaurants for the event and continuously providing details and information to restaurant staff
  • Manage Film & Food Committee—serve as main point of contact for all committee members
  • Coordinate Film and Food Committee Meetings–providing all details to the committee create agendas and take meeting minutes, rally committee members, following up with committee tasks, etc.
  • Manage Silent Auction–secrure and organize items, collecting all the donations, creating packages, creating templates for silent auction bid sheets, etc.
  • Serve as main point of contact between Austin Film Festival and all parties involved in Film & Food- relaying details of the event, giving alcohol orders, making sure everything is taken care of prior to the party
  • Manage volunteers–Giving the volunteer coordinator all your party needs managing/directing volunteers during event
  • Assist Development Director fulfill any sponsorship obligations- setting up all sponsorship material and ensuring all sponsors have a positive experience
  • Day of logistics–Arriving early to help set up and communicate with the venue, restaurants, and silent auction set up
  • Providing the final guest list, sending out tickets, and controlling the check-in table/walk-up sales
  • Manage event collateral by providing correct details and finalized copy

General:

  • Budget management–Keeping track of the budget and working with the Executive Director to complete the final numbers on all parties
  • Work with the Development Director, Executive Director and our CPA to make ensure reimbursements are correct and sent out in a timely manner
  • CreateWeekly Status Reports & attend weekly Staff Meetings starting in September
  • Adhere to and complete a predetermined timeline
  • Provideexemplary customer service
  • Provide post-festival wrap up and completion materials
  • Commitment to the AFF Mission Statement
